Hays are proud to be partnering with a fast-growing Real Estate company in finding their next Manager, Property Management and Operations. Our client, is a boutique firm that specializes in acquiring and managing residential apartments on behalf of external and internal investors.



Team Management

  • On-board, train and manage the property management and leasing team to deliver bespoke high-quality and timely property management and leasing services for our clients
  • Supervise and ensure accountability of the team through regular communication and team meetings. Lead and facilitate meetings to discuss escalated issues and encourage collaboration for issue resolution
  • Prepare and conduct performance reviews outlining accomplishments, areas of improvement and prepare development plan for property managers and leasing managers
  • Monitor and plan training sessions when required for new or changing internal processes or as they relate to the Residential Tenancies Act or Landlord Tenant Board. Enforce adoption for the use by the team on these processes or guidelines


Tenant / Client Management


  • Professionally and courteously manage all client and tenant escalations, complaints, or feedback. This may include:
  • Review and edit sensitive email communication from the team to ensure tone is appropriate, and content is accurate/in line with LTB guidelines and client expectations
  • When sensitive situations are on-going and a high priority, back up property managers and sometimes become the new point of contact for tenants and clients until the issue is resolved or deescalated.
  • Source, meet and vet new handymen, contractors, or tradespeople; and ensure all appropriate checks are completed prior to releasing any confidential client information
  • Spearhead business development activities. This includes:
  • Build relationships with local community through active engagement to develop brand and further local database of potential clients
  • Refine our service offering to enhance experience with existing and future clients
  • Integrate services with realty team to onboard new clients to portfolio seamlessly


Office and Administration Management


  • Accountability for accurate data entry for trade records, issuing commission invoices as required, and preparing cheques for the Elevate Realty Brokerage
  • Ensure all files, folders, and spreadsheets used by the Operations Team are up-to-date and organized
  • Review and approve all handyman and staff expenses and invoices for reimbursement
  • Prepare, send, and follow up on all invoices to clients during their regular billing cycle (Ie. Lease Invoices sent monthly, Repair Invoices sent bi-monthly, Management Invoices sent quarterly)
  • Organize Rent Increase Notices for all eligible rental units
  • Approve and oversee property management inventory on site
  • Accountability for the timely and regular review of all Lease Advertisements on listing sites to ensure they are active and accurate; and ensure changes are made as needed by the team
  • Organize annual/semi-annual activities required for the entire portfolio (Eg. Snow removal contracts, gutter cleaning contracts, in-unit inspections)
  • Support with payroll for all related companies



Qualifications


  • Previous experience as a Property Manager or Senior Property Manager overseeing residential rental apartments (3+ years)
  • Able to work independently, manage your own schedule, and stay organized
  • Able to multi-task and balance competing demands from both clients and management
  • Work well in high-pressure environments and meet deadlines with minimal error
  • Able to think critically and creatively when solving problems
  • Professional and proficient written and verbal communication
  • Extremely reliable & responsible
  • Pleasant personality and strong interpersonal skills for all personality types
  • Advanced knowledge of Microsoft Word and Microsoft Excel
